How your data is collected and used
The information being collected is name, address, email address, postcode and telephone number. This information is used to register for completion of an (OIA1) Application Form for an Optional Indication Certificate for poultry meat that is being exported to the European Union or moved to Northern Ireland. The legal basis for processing is:

Legal obligation: the processing is necessary for you to comply with the law (not including contractual obligations). To export poultry meat with optional indications to NI and the EU, GB producers are required by EU law (EU retained regulation 543/2008, Article 14) to provide a certificate of compliance. This certificate will be issued by Defra. In order to issue it, we need the name and address of the business, which – in the case of a sole trader – may include personal data. No other personal data is requested or processed.

Public task: the processing is necessary for you to perform a task in the public interest or for your official functions, and the task or function has a clear basis in law. Details of the business applying to export poultry meat with optional indications are required as part of the general requirement for traceability of food suppliers for reasons of public health. As noted above, in the case of a sole trader, this may include personal data. No other personal data is requested or processed.
Sharing your data
Your personal data will be shared by us (Defra) with such parties as necessary to enable Defra to collate and verify information to inform the correct issuance of a ‘Poultry Meat Optional Indications Export Certificate’. No data will otherwise be shared with or disclosed to any party outside Defra without your explicit consent.
Option to opt out
You may opt out at any time by asking for your personal details to be deleted by emailing [email protected].
What happens if you opt out
Opting out will mean that we will not be able to process your application for a ‘Poultry Meat Optional Indications Certificate’ which means the OI product cannot be exported marked as such.
Retention period or criteria used to determine the retention period
Your personal data will be kept by us for up to 6 years as part of an audit trail relating to the issuance of the ‘Poultry Meat Optional Indications Export Certificate’.
Automated decision-making or profiling
The information you provide is not connected with individual decision making (that is, making a decision solely by automated means without any human involvement) or profiling (in other words, automated processing of personal data to evaluate certain things about an individual).
Data transfer outside the European Economic Area (EEA)
The data you provide will not be transferred outside the EEA.
