Manually adding applications (vX)
Guidance for recruiters when uploading applications to the Civil Service Jobs vX recruitment system.
You can use this guide to support candidates who need assisted digital support.
Download the import template from Civil Service Jobs vX
- Find your vacancy and note the Vacancy ID number.
- In the Applications menu, select Import Applications.
- Double click on Import Candidates.
- Download the template spreadsheet by selecting the download here link on the upload page.
- Open the exported spreadsheet.
Complete the spreadsheet
You must complete all columns in the template. You can add as many rows as you need to upload, with one application in each row.
The sheet has a System ID in column A, which should not be changed. Make sure the System ID number is the same on every row you use.
The Title in column C must be one of:
- Mr
- Mrs
- Mx
- Dr
- Miss
- Ms
- Other
The Applicant Type in column H must be one of:
- Internal - Current employee of advertising department
- OGD - Current employee of another Civil Service Department
- NDPB - Current employee of Accredited NDPB
- External - Non Civil Servant / External
Make sure that you have not entered additional spaces either before or after any text, as these may cause problems when uploading.
Save the file to your computer.
Upload applications
- In the Applications menu, select Import Applications.
- Double click on Import Candidates.
- Select Choose File and select your spreadsheet.
- Select Open, then Submit.
After uploading
Candidates are at the offline application uploaded status.
Use the continue application options to complete the application on behalf of the candidate.
For candidates with an applicant type of Internal, OGD, or NDBP, you must also select their home department within the application form.
Candidates will be able to access their application via Civil Service Jobs if the uploaded email address matches their account details.
Candidates without a Civil Service Jobs account must create one using the same email address as the application, otherwise they will not be able to access their application.
